Brother Knights,
I am excited to begin my new role serving the state family as State Treasurer. For those that are not
aware, the State Treasurer responsibilities include assisting the State Deputy with the charitable aspects of
the State of Indiana Jurisdiction. As such maintaining the ledger of the Charity accounts, coordination of
records for the Audit and monthly reporting of account status are included.
I will be in charge of Registration at the State Convention. I will confirm that all delegates and
alternates have registered properly with the State Secretary and are checked in prior to the roll call on
Saturday morning.
The State Treasurer is also elected to be the recording secretary for the Charity Fund, Inc. board. This
role requires maintaining the minutes of the quarterly board meeting and presenting those to the board
members for review.
As State Treasurer all council charity checks would be mailed to me and I will create deposit packets
for all monies to be deposited into the charity account by the State Advocate. I would then draw checks
against the charity account to pay for charitable expenses and send those prepared checks to the State
Advocate for his review and countersign for him to mail them to the council and/or charities.
As State Treasurer it is my responsibility to prepare and submit all Seminarian stipends from the SOS
program no later than October 31 of each year.
As State Treasurer I will review and countersign all deposits and checks against the business
account to pay for operational expenses.
The transition of State Treasurer materials is taking place. Our CPA is reviewing our account for the
past 12 months. Once completed, he will send any outstanding checks that have not been cashed. I will
reach out to each council via email when I have those checks in my possession. I will also review the audit to
process checks that have not been issued but the State has deposited the council charity check.
Over the next two months, I will be processing any new checks I have received in the last month, any
new checks going forward and processing checks received from our CPA when he provides me them with the
audit results. Councils can expect to receive prompt email communications from myself as I work to rebuild
the trust of the jurisdiction for the Charity Account.
